Opening and Closing Procedures

Opening 

  • Unlock Wooden cabinets with study room keys, filing cabinets 1, 2, and 3, laptop cabinets and Tech Cabinets 1, 2, 3, and 4 as well as the tall, gray tech cabinet 5 and the brown Leisure Library cabinet.
  • Move Laptop Sign to change rotation for which Macbooks are out of circulation  
  • Log into computers User: lib-infodesk / Password: Patrons30* 
    • Open "Firefox for Service Desk" found on the desktop.  Be sure the following tabs are open and log in: 
      • Alma
      • LibApps (LibCal, LibInsight and LibEquipment)
        • LibApps now uses FSU logins and Duo. After logging into the first and approving the Duo notification, you can refresh the other pages to ensure they are logged in.
      • ILL 
      • Desk Handbook “Who To Contact” 
      • Strozier Newsletter 
    • Log in to Microsoft Teams (the app should open automatically)
  • Take out curbside sign (Unless it is actively raining or about to downpour) 
  • Organize the physical desk space 
    • Throw away Trash
    • Stack together reference papers (Call Numbers, military timetable, etc.)
    • Put any scrap paper in top drawer
    • Ensure staplers are in front of computers
    • Wipe down desk- it gets dusty!
    • Make sure there are enough pencils, paper clips, and fine slips etc., on the desk.
  • Check the hold shelf for expired holds using the Expired Hold Shelf Workflow
    • While there organize the shelf by making sure no books are leaning sideways and moving bookends where needed. Do the same for the Course Reserves shelf. 

 

 

Closing

Closing Announcements

  • Security should have announcements reminding patrons that our desk will close at midnight. One at 11:30pm and one at 11:50pm. If those do not go off, people will rush the desk right at closing, so it serves to remind them if that is the case. 

Curbside

  • Double check that the curbside phone is already charging in the office suite.

 

  • Double check that the curbside sign has already been brought in and put away between the laptop cabinets and the Course Reserves. 

Drawer Organization and Lockup

  • Have the staff begin organizing the cabinets about 11:45 to ensure it can get done in time while still assisting patrons. 
  • Grab the keys from the office suite.

  • Go through the laptop cabinets to ensure they are all returned, and begin locking up the ones that are full. 
  • As midnight approaches, check the lesser-used cabinets to ensure they are organized and lock them up. Below are examples of how the organized drawers should look.
  • Finally, at midnight, dismiss the staff and check/lock up the last of the cabinets. 
  • Put up the closed sign and sign out of the computers. 
  • Return the keys to the key box in the suite.

Opening

  • Unlock Wooden cabinets with study room keys, filing cabinets labeled desk 1 and desk 2 found under the desk, as well as the desk 3 cabinet. Laptop Cabinets and Tech Cabinets 1, and 2. The keys can be found at the back of the key cabinet in the office suite, the code for which is 2022.

  • Place Anatomical Models found in Tech Cabinet 2 on display on top of desk cabinet 3, as in the picture below.

Closing

Closing Announcements

  • Be sure to follow the script and use the intercom to perform closing announcements 30 minutes before, 15 minutes before and 5 minutes before close. The script can be found on top of the intercom system that is on the back wall of the office suite.
  • To turn on the intercom system please make sure that the switch on the intercom is moved to the "on" position, and the switch on the microphone itself is also in the "on" position.

  • When you are done with each announcement please turn both switches back off.

Drawer Organization and Lockup

  • Have the staff begin organizing the cabinets about 11:45 to ensure it can get done in time while still assisting patrons. 
  • Place the anatomical models back in their proper places, with the smaller models in tech cabinet 2 in their labeled place and the skeleton in its proper place in the office suite (behind Ryan's desk)
  • Go through the laptop cabinets to ensure they are all returned, and begin locking up the ones that are full. 
  • As closing approaches, check the lesser-used cabinets to ensure they are organized and lock them up. Below are examples of how the organized drawers should look.
  • Finally, at midnight, dismiss the staff and check/lock up the last of the cabinets. The keys are found in the same place as they are described as being in the opening procedures, and they are clearly labeled.
  • Put up the closed sign and sign out of the computers. 
  • Return the keys to the key box in the suite.

Opening


  • Make sure lights are on.
  • Remove Desk Closed sign from the middle of the service desk and put it behind the phone on the laptop cabinet.
  • Unlock all bookcases, storage cabinets and staff circulation desk drawer.
  • Log onto staff computers at the circulation desk. 
  • Log into the google drive for (table reserves, wait list, google voice, ILLiad Web, and FSU.libapps.com)
  • If copier and scanners are turned off, turn them on.
  • Clean the tables with sanitize wipes and straighten the chairs.
  • Clean all student areas including dry erase wall.

 


Closing


  • Make sure all items are properly returned and stored.
  • Lock all bookcases, storage cabinets and staff circulation desk drawer.
  • Restart all the staff desk computers.
  • Place closed sign on the middle of the service desk
  • Interlock dry erase boards with black chain and lock.


 

Do not turn off the lights or lock the doors.
