ILLs, UBorrows, and Library Material Requests

ILLs and UBorrows are books that scholars order from other Universities since FSU didn't have them. ILL orders internationally, and UBorrow is within the Florida University and Community College system. Library Material Requests are FSU books that scholars requested through the request system in the catalog. Library Material Requests and UBorrows are checked out through Alma. Refer to the due date in Alma for UBorrows. For ILLs, you have to use the Illiad web application (on the circulation desktop) to check them out.


Library Material Requests 

Library Material Requests have a branded wrap with the scholar’s name, the date it was placed on hold, and the pull date, as seen below: 

 

 

FSU Libraries owned books from Strozier, Dirac, Engineering, and Remote Storage have the following loan periods: 

  • FSU Undergraduates - 8 weeks
  • FSU Graduates, Staff, and Faculty - 16 weeks

In-Library Use Material Requests are FSU materials such as journals, documents, microfilm, etc. These materials can be requested, but cannot leave the library. 

They will be wrapped with a pink Library Material Request strap, as seen below:

When checking these out, inform the scholar we can check it out to them for the day, but it can’t leave the library. They may use the material anywhere in the building and make whatever scans they need while using the book.

We can keep the in-library material on the hold shelf for one week if they need it longer than a day. If not, they can return the material to the drop box. When the scholar returns the book to keep it on the hold shelf, return it in Alma and put it back on the hold shelf.

 

Check out the book to the scholar each time they are using the material and return it each time as well. Please note: this is different than the pink ILLs, which we do not check out or return in Illiad. 


UBorrows

UBorrows are books from other Florida institutions. These books are checked out through Alma. They have white slips, with the scholar's name and with the barcode you need to scan on the cover. Remember to scan the top barcode only when checking out the material: 

 


Interlibrary Loans (ILLs) 

ILLs have yellow and pink slips and must be checked out through Illiad. ILLs with yellow straps can leave the library; ILLs with pink slips are In-Library Use only and can be individually checked out to the scholar (they are already listed on their account) until the library closes and we should remind them that it is ‘Library Use Only.’  When they are finished with the pink slip ILLs make sure they initial before returning. 

If people ask, they CANNOT take off the UBorrow or ILL slips, but are free to take off the Library Material Request slips.

Curbside Pick Up 

Curbside Pick Up was started at the beginning of the pandemic and is a continuing service. While scholars cannot request “Curbside” as a location from the request system, any book that is to be picked up at Strozier can be delivered via Curbside. This is a contactless way for the scholar to receive their books. The scholar will call the number listed on the website once they are at the pick up location (outside near the hot dog stand). Once you have delivered the item, please mark “Curbside Pickup” on the LibInsights stat page. The desk staff will only be doing Curbside deliveries if there are two people working the desk; otherwise, full time staff will handle the deliveries.

Curbside Script

When you answer the Curbside phone, please follow this script, which is also out at the Circ desk for reference:

Answer the phone by saying: “FSU Libraries Curbside Service, how may I help you?” Scholar will say that they are here for Curbside Pick up and that they got an email that their request was ready.

Then you will say:

  • “What’s your first and last name?”
    • Check all the shelves for materials (ILL, UBorrow, Library Material Requests).
  • “How many books are you expecting?”
  • “Do you have any UBorrows or ILLs?”
  • “Are you where you can see the Curbside sign and the hot dog stand?”
  • “Can you open your trunk for me?”

Let them know you’ll need to check the materials out to them and be out in just a few minutes before ending the call.

Search them by their name in Alma and check out the materials to them. Remember to desensitize the books!

You can leave through the handicap gate without needing to swipe your FSUID to get out.

When you return, make sure to mark your LibInsight Stat for “Curbside Pickup.”

LEDS Lockers

LEDS Lockers are a new Pick Up Location 

  • These are going to be a new pick up location in the drop down menu in Primo, like the Strozier Desk or Dirac Desk. 
  • Any FSU student, graduate student, staff, or faculty member can choose the LEDS Lockers for pick up. 
  • Only books and materials you can request for check out will go in the lockers, so no technology or study room keys, etc. In-library use materials will also not be able to be picked up at the lockers.  

How do the LEDS Lockers work? 

  • If someone chooses the LEDS Lockers location, they will go directly to the lockers to pick up their book. They will type in their library card number and a locker door will open, which will check out the books to them. 
  • They will receive an email that tells them that their books are ready for pick up, just like they do for the desks, but the pick up location will say either “Strozier LEDS Lockers” or “Dirac LEDS Lockers” 
    • In Alma, we will be able to see their location as the “LEDS Lockers” as well
  • Books in the LEDS Lockers will be held for 3 days before returning to the general collection, as opposed to a week, like they are at the desk, due to the sun and humidity. 

Where do I find out more? 

  • The LEDS Locker books will be entirely processed by the Collections Access team. If anyone has any questions or concerns about their book missing or the lockers not working, they should email lib-recalls@fsu.edu. For immediate help, you can still get a supervisor and we will do our best to help and/or get a member of the Collections Access team.
