ASD's Scholar Support Desk Handbook

Strozier Library

Basics for Checkout

FSU Libraries offers course related materials to be available to scholars for checkout. The written materials have a loan period of 2 hours, while the DVDs and Blu Ray can be checked out for 4. However, none of the materials are to leave the building. Both can be found on the shelves behind the circulation desk in alphabetical order by material title.

Student Course Reserve Search

If a scholar is uncertain whether a particular material is held in reserve, the Course Reserves page on the Library's website has a link to OneSearch with the Course Reserves parameters already entered. This will be the primary way you’ll look  up Course reserves for a scholar, so feel free to walk them through the process if you like. They can search by course code as well as book title in the course reserve search.

Faculty Submission of Course Reserves

If a faculty member or TA asks about putting materials on reserve for their classes, they can access the submission form through the Libraries' Website under the "Course Materials" link. From that page, there is a link "Course Reserves for Faculty" which includes all the policies and procedures for faculty members using the Course Reserve service, including the form they must fill out to place the Course Reserve request.

Basics for Checkout

We offer to hold materials for scholars to pick up as an alternative to having them browse the stacks and pick books out themselves. Scholars will retrieve these materials from our Circulation Desk either in person or through Curbside Delivery.

In-Person & Curbside Pickup

To request materials, the scholar should use our OneSearch service. Once they've found the desired materials, under the Get It section, there should be an option to request it for pickup and a list detailing its location.  They have to be logged in to see this, so they must be an active FSU student, staff, or faculty member to use this service.

Common problems with this process

  • The scholar is not signed in while using the OneSearch service, and the request option is not shown.
    • Have them sign in. There should be a prompt to do so on the material's page above location.
  • Only graduate students, Teaching Assistants, and faculty/staff can have materials delivered via LEDS.
    • The materials can still be requested, the scholar must go to the building at which they are available.
  • The scholar checks the material's status instead of waiting for an email and arrives to pick up the materials early
    • If the scholar's materials are not on the shelf, ask when they received their email detailing that it was ready for pickup.
    • Ask a supervisor if the scholar’s account says “On Hold Shelf” but we see in Alma “Hold Shelf Processing.”

For more information regarding the different types of requests, or for more information on how to handle Curbside Pickup, check the Holds, ILL, And UBorrow tab.

Streaming media Requests

For Instructors asking about having media be made available to stream for their classes, direct them to the Course Reserves link on the Library’s website. If they’re signed in, there should be a link to the Streaming Media Request page lower down on the page, under the eReserves section. e. An alternative way to get there is to click on the Course Reserves for Instructors Form link, and within that request click on the Streaming Media Reserve Request link.

Be sure to ask if the instructor has checked the Swank and Kanopy streaming databases. If the material is already offered there, we cannot host it ourselves.

Accessing Streaming Media

Any streaming media that has been requested for a class should be available on that classes’ Canvas. If the scholar is having trouble accessing the media, have them reach out to their instructor.  If an instructor is having issues, have them contact Bremen Hill.

Who has access to the Library Express Delivery Service?

LEDS is designed to be used by FSU instructors (both faculty and TAs) as well as graduate students, to have materials delivered to a valid FSU departmental location/office. Anything available from  any FSU location, via ILL delivery, or through UBorrow is available to be delivered directly to an FSU office by LEDS.

Placing a request

Eligible Scholars must Register an Account with LEDS beforehand. Once done, simply select LEDS Delivery when requesting materials via the Library’s OneSearch function. As long as the scholar is signed in correctly, the delivery should go to their selected office drop off.

Troubleshooting

Many scholars asking about this service are looking for confirmation that it's been delivered. If Alma or Illiad list the book as "Checked out to Customer", then it has been delivered. For other inquiries about registration or use, an in depth guide on how to use the service is located on the LEDS Page along with an in depth FAQ. This page can be found under a list of All Services from the Library’s home page. Any questions can also be directed to Jerod Hutchison at jhutchison@fsu.edu or (850) 644-9603.

Handling Lost Items

If a scholar says they have a lost item to return that is not a book, take it without returning it and get a supervisor.

If a scholar says they have a lost book to return, don’t take the book and ask them to email lib-recalls about their lost book. If they've already been in contact with Collections Access, send a message in the Ask a Supervisors Chat.

If a scholar says nothing and returns an item that then says it is lost, choose “cancel” to cancel the return. Let a Supervisor know in the chat that you have a lost item. They will return the item and mark it down to send the info to fines management.

Answering Fines Questions

We should be referring scholars to the Contact Library Fines Management form on the 'All Forms' page. This covers both fines questions as well as what was once the Claimed Returned form. While we may have access to view the fines on Alma, we do not know if they are up to date or accurate, and so we refer any scholar to Fines Management.

Hammocks

The Leisure Library

SGA has purchased 20 hammocks for us to circulate at the library for students to use on Landis Green and around campus. They've also purchased 10 "inflatable" lawn chairs and 10 frisbees as well.

The Tech Desk will primarily check out these items for 4-Hour loan periods. If there is no one at the Tech Desk, the Scholar Support Desk staff in Strozier will check out the materials. They can be renewed at the staffer's discretion. The frisbees do not require a student to sign the waiver, the item can be checked out in alma as normal.

The Leisurely Landis Collection will be kept in the brown cabinet by the Hold Shelf. This is temporary storage.

To check out a hammock or lawn chair:

  • Ask the scholar to sign the Liability Waiver. This is required to check out the material. Only FSU students, staff, and faculty can check out the hammocks.
    • If they say they've already signed the waiver, you will check their Alma account to see if the note is there.
  • The scholar will scan the QR code to sign the waiver. Once you see the "Thank you for submitting this survey" screen, you can swipe the scholar's ID to pull them up in Alma.
  • In Alma, add a note that says they've signed the waiver (these instructions are below).
  • Check the material out in Alma
    • Hammocks: The barcode is on the inside of the box. Confirm that the hammock and the straps are in there before checking out to the scholar.
    • Lawn Chairs: The barcode is on the luggage tag outside of the bag. Confirm that the chair is inside the Wekapo drawstring bag.
  • Let the scholar know the exact time that the material is due.

Returns:

  • Hammock: confirm that the hammock and both straps are in the box before returning the item in Alma or letting the scholar leave.
  • Lawn Chairs: confirm that the chair and the Wekapo drawstring bag are in the plastic bag before returning the item in Alma or letting the scholar leave.

Liability Waiver

Students must sign the Liability Waiver before checking out the hammock. This can be done through the QR code which we'll print and have at the desk.

Adding Notes to Alma Account

Adding a User Note for the Liability Waiver

Once the scholar has signed the waiver, you will add a note to their Alma account so they do not have to sign the waiver again.

When the scholar swipes their FSU ID, you will see their account. On the right-hand side you will see the “User Notes” section where you can add Notes.

Choose “Edit Notes”

This will bring you to the scholar’s account.

Choose "Add Note" to bring up this screen:

For the Note, add the following so it looks like this:

“Hammock Liability Waiver Signed [Date] [Your Initials]”

Choose “Add and close” and the Note will be added

Click on the “Save” Button in the top right corner and your screen will return to the check out screen for you to check out the hammock.
